Liners: Get the Most out of Your Printed 3-ring Binders

The liner of a 3-ring binder is not just a blank space that the interior pages cover, it is a rich design space that adds life, information and interest to your design project.

Good things to know about 3 ring binder liners:

  1. When you are printing more that 250 binders, they print of our offset printing press.  This means that a matching fully printed liner is FREE at Corporate Image. Say you have a 4 color process cover, print the liner 4cp at no extra cost!
  2. People see the cover on the shelf, and when the binder is closed on a desk. People see the liner when they are looking at your information. The chances are they will spend a lot more time looking at the liner than the cover of your binder!

Artwork and Design Questions

Submitting your binder Artwork 

When you decide what ring size you need, get a template from you sales representative. All art will be submitted in PDF form, with one copy showing the template to insure placement of art. All files should be print quality (300 dpi or higher) – lower resolution files will not print well!

How small of a typeface can I print?

If it is legible, it should print fine. Generally that means 6pt and above

Can I overprint?

Since we are printing these digitally, you can’t overprint.  It is best to have your artwork exactly as you want to see it and flatten it without layers.

File Formats Accepted for Artwork

We accept PDF files for your completed artwork. Please use one of the following “Adobe PDF Settings” to generate your PDF: PDF/X-3a:2002 PDF/X-4:2007 (use this setting to export out of any Adobe  application)

You will generate two versions of the art – one exactly as you want your binder to look and another with the template overlayed on your artwork.  This way we can tell before we print it if there will be issues with alignment.

What do I need to know to convert artwork from a previous job?

The templates are slightly different for the digitally printed binders, so you will need to move your artwork onto the new template to check alignment.  For the most part, that is it.  You will need to generate the output as a PDF (see formats).

The spine of a binder is not the best way to measure a binder. How much paper a ring holds is much more accurate. When you plan your custom binder, know the range of materials you want to put in – say between 200-275 pages for the proposals. This way you know you would need a 1.5″ D-ring binder or a 2″ Round ring binder.

Print Facts #2: Spot Colors and 4 color Process

How to decide what’s best for your project.

So what does 1 color vs. 6 color, spot color vs. 4 color process printing mean to you and your project? How do you know what option is best? Well lets break down some facts about printing offset and tips that might help you with your next project.

4 color process – CYMK:

4 color process is probably the most common way to set up your artwork. With just the standard CMYK build you can make countless combinations of colored logos, full images and photos.

In this system a color image is separated into 4 different color values to create 4 images that are transferred to printing plates. When you run these on a printing press with the CYMK inks (cyan (blue), magenta (red), yellow and black (the k in cmyk)) you can reproduce the original color image. Most of the entire spectrum or gamut of colors are reproduced with just the four process ink colors. Printing 4 color process is standard in the printing industry on offset presses (presses that use inks and printing plates). The quality is better than digital printing and it is cheaper in large quantity runs.

Spot Colors

In offset printing, a spot color is any color generated by an ink (pure or mixed) that is printed using a single run. CYMK can come close to matching any color, but to get it exact, a PMS color can be mixed and used for areas that need to be an exact match to, say, a logo color.

Absolutely need to match a color?

Is getting your brand color just right the main concern for you and your team? Then printing PMS colors or a combination is your best bet. Printing a standard PMS color is the best way to ensure your brand color carries over from all the collateral items you print.

If you have photos or other artwork you’d like to use on your material and an important logo in PMS colors, you might want to consider 4 color process+1 color PMS. This will allow you to place images on your project while printing your corporate colors as well. Nothing has to be sacrificed, especially not the integrity of your brand.

Is cost your main concern?

If cost is your main concern then stick with 1 color to 4 color process/PMS. Most people don’t realize that your unit price for printing one side won’t change from 1 color to 4 color whether you are using 4 PMS colors or 4 color Process. The only fee change is within the prepress charge for your project. For example, for a 1 color 3 ring binder prepress is $275, while 4 color adds only $150. A small fee to have a full range of color options at your fingertips.

If you are working on a custom printed 3 ring binder, there is one place you don’t have to skimp. Print those liners! Did you know that most binders print cover & liner on the same press sheet? So that’s one side printing people. You can print the inside or your binder with common colors from the cover at NO additional charge. This adds a lot of punch and makes you a hero to your clients. (Tell them you talked us into printing it for free!)

Do you want the greatest variety in printing options?

4 color process can run everything from gorgeous photos to solid blocks of color, so offers a great range of options.

But what if you have 4 PMS colors but still want variety in your project? Easy, SCREENS…lots of screens. You can print your PMS colors at 100% , or pull back those percentages on the same colors for a bit of variety without increasing your Prepress charges.

“You Say Potato”… 3-Ring Folders and Presentation Binders

3-ring folders, ring folders or pocket folders with rings are just other ways of saying presentation binders.

A presentation binder is a pocket folder with rings. Made from sturdy paperboard, these ring folders are lighter than a full cased and lined binder and can have pockets on the inside of either cover. This makes them great for conferences and meetings where there is set information that everyone needs, but also the possibility of variable data that also needs to be organized.

The loose leaf binder has been around since about 1860, and since then the design has had only minor changes. During the latter half of the 20th century the vinyl binder came about, billed as a cheaper modern version of the 3 ring binder.

Since those days, we have discovered that vinyl binders not only fall apart quickly, but are impossible to recycle and actually toxic.

Corporate Image started manufacturing 3 ring loose leaf binders 30 years ago and wanted to do better than what was already on the market. They designed some of the first turned edge flex hinge or European hinged binders ever made in the US.

Because the hinge of the binder is pressed directly into the board, these loose leaf binders are super strong. The covers will never just fall off with normal use or because it is cold. Also, these binders could have offset printed covers and liners allowing the artwork to be a fine piece of art.

Using a 3-ring Binder Template #3: Digital Binders

A digitally printed binder allows you to make your binders in quantities of 50 and up, which is great for proposals, meetings and conference information binders.

There are a few differences in how the artwork is treated and how they need to be submitted that we should discuss.

Formats for submitting your artwork:

We ask that your binder art be submitted in PDF format.  This insures that your art doesn’t shift, modify or lose elements when sending us the files.

What is a PDF file? Glad you asked.  We turn to Wikipedia:

Portable Document Format (PDF) is a file format used to present documents in a manner independent of application softwarehardware, and operating systems.[1] Each PDF file encapsulates a complete description of a fixed-layout flat document, including the text, fonts, graphics, and other information needed to display it. In 1991, Adobe Systems co-founderJohn Warnock outlined a system called “Camelot”[2] that evolved into PDF.

Since the art work is encapsulated in one file, what we print is exactly what you designed and sent. How do you find where to output a PDF file? Good question.  In the Adobe design suite you should look where you save your files:

Corrections to design / art files

Remember that whole PDF thing?  This means if there is an error when we open your file (art is misplaced in relation to the template, we noticed something mis-spelled… something like that), we will let you know what is wrong and you will need to correct it.

Double check everything before sending files to save time.  Also keep your work files until the job is done.  I am sure you do anyway in case a client calls and needs a later version with some changes, but we still wanted to mention it.

Any artwork that runs to the end of the turn-in should probably not have text that needs to be read, but continues your design into the binder. All text that needs to be read on the cover should be at least 1/8″ away from the “edge of binder” line.  There can be 1/16th of an inch shift of the cover in manufacturing the binder, so if text is too close to the edge there is a possibility it will get lost.

I am going to refer you to How to Use a Binder Template #1 on this one, but wanted to re-iterate: In North America you read a book spine by placing your right ear on your shoulder, in Europe the left ear to shoulder. Check it out to make sure you are right.  We don’t know who your customers are, so can’t second guess you.

Do I need a pocket folder, a presentation binder or a 3-ring binder?

How do you decide between a pocket folder, presentation binder or a 3-ring binder?

First off I am going to assume that you know what each of these items are.  (if not, scoot down to the bottom of the post – just don’t tell anyone)

Time to talk to yourself.  If you can answer these questions, it will make your choice easier:

  1. How much paper needs to be put into my presentation?
  2. Are there a lot of variable sheets that get used a lot?
  3. Do I need the paper to be secured (i.e. not fall out ever)?
  4. How long does the marketing material need to last?
  5. Is this resource heavily used?
  6. Do I need shelf presence (does it need make itself known on a bookshelf)?

Get a 3-ring Binder –

if over 220 sheets of paper, it needs to last and or is heavily used.

The more paper you need to use and the more heavily used your information is, I would suggest a 3-ring binder.  The heavier board means it will stand up to abuse better and keep looking great. And also, the weight of all that paper risks pulling a rivet out of a presentation binder.

These are great for proposals – especially in Engineering and Construction – interior design, sample kits, car companies, and a lot of other uses.  Also ideal for conferences and important meetings. Added bonus of branding for quality, sturdiness and design possibilities.

Get a Presentation Binder –

if under 220 sheets of paper, paper needs to be locked in and/or there is some variable paper (presentation binders have pockets too!)

Presentation binders straddle the hardback 3-ring binder and a pocket folder in that they have pockets and a ring.  The paperboard is not as sturdy as a 3-ring binder, so if it is going to be heavily used over a longer period of time – consider going to the 3-ring binder.

Many healthcare information packets use presentation binders for a few reasons: It only gets heavy use for a limited period of time, pockets allow extra information to be easily stored and the rings hold the important information in place.

Get a Pocket Folder –

if you have a smaller amount of paper that may need to be accessed out of order.

Sometimes a pocket folder is the ideal thing.  Great branding possibilities, easy to cary and organizes all of your papers in a flash.

We have seen a lot of these in healthcare and financial information packets, and for anything that just needs to hold less, but important, paper.

Whether you are designing your first 3-ring binder or your 500th, there are a few common errors to watch out for.

So here you are with you binder template, ready to start making your art and getting creative on that custom binder. Today we are going to look at three things to watch for that often trip people up.

1. Spine Text : how it reads.

2. Spine Text: Keeping it out of the hinges

3. Rivets: avoiding having a hole in your artwork

Who doesn’t love flying children?  And one of them is mine, so I think this would make a fine binder.

Reading Spine Text: First of all in the U.S., when you read spine text your head tilts to your right.  In Europe, your head tilts to the left.  As your fine manufacturer of binders, we don’t know who your audience is, so we may not question your choice in that but your client might.

Positioning Spine Text: The beginning and end of the spine also includes the hinge, which is pressed into the board.  This is a bad place to have small text as it can be somewhat lost in the flex.  Allow 3/8th to 1/2″ from the end of those lines on the template to insure the safety of your text.

Images that stretch through the hinge look great, color blocks – anything like that – but small text can be hard to read.

Avoiding the rivets: I dropped the rivets out to insure they were more visible, I would not do that in the final artwork. Common errors are when the text on the bottom of the page has a rivet in it or an image has a hole in it.

Using 3-ring binder templates - watching for rivetsSince this image is of my son, I don’t want that rivet too near his head. Generally, he is a good kid.

How this comes up is that the image that you lay down masks the template.  Rivets are easy to forget about if you are not doing this all the time. To solve this problem, go to layers when you are building your art and screen back your art until the template shows more strongly.  Check to insure those rivet are not in awkward places.

Alternately, you can do what I did and fill them (leaving the template layer on top) with a very contrasting color so you just can’t forget them. Since the fill is part of the template, you don’t have to worry about seeing that in your artwork later.

Ways to Customize A 3-ring Binder – Offset Printing

What are the options for a custom 3-ring binder?  Let us give you some ideas.

It is not everyday that you are asked to design a custom three ring binder for your company or a client. So, Assuming you want something that looks good, is non-toxic and lasts, where do you start?

Not a problem. Corporate Image can review the design and material options for your consideration. Offset Printing

The most cost effective option in customizing a medium to large number of binders.  Easy to produce, clear templates and lots and lots of room to craft a message and look for your client.

Offset printing with full color graphics on the cover and liner is popular in part because the design possibilities are endless with the combination of 4-color process and Pantone Matching (PMS) colors. It is possible to combine photographs, graphics, line art and logos to create a stunning informational marketing product. The design real estate is huge, with full coverage on the front and back covers, spine and liner. As the binder is opened the inside liner provides a full landscape for added images and branding. As an added bonus, offset printing is also one of the most cost effective options for large volumes.

Environmental Considerations: Offset printed binders are 100% recyclable along with other paper. Simply separate the steel rings from the binder cover and recycle accordingly. Corporate Image offers two styles of offset printed binders, Flush-cut and Turned-edge.

The flush-cut binder is printed up to the edge of the cover and liner. However, the edges of the binder show raw board. The flush cut binder is made with up to 95% recycled materials and is 100% recyclable.

The turned-edge binder is made like a book – fully cased and lined.

Both styles can be protected with a lamination which is inert and non-toxic. It can be put into the recycling with the rest of the binder. The lamination will get separated from the paper in the recycling process and be recycled itself.
